What is an event coordinator? TOP
An event coordinator is someone who plans and executes the tasks and functions necessary for events to take place, such as venue selection, vendor management, budget creation, in addition to pre/onsite/post logistics.

What can an event coordinator do for me? TOP
To give a few examples, an event coordinator is your RIGHT-HAND ADVISER.  The coordinator will provide advice and knowledge on everything event related from etiquettes to room design and menu selection.  They manage every aspect of your event so you will have the stress of worrying about the little details.  As your COORDINATOR, SE will offer vendor referrals that match your budget and vision.  As a FINANCIAL PLANNER, the event coordinator will help clients set realistic goals, and keep expenses well-within your budget in addition to offering suggestions and referral discounts from preferred vendors.  Your event coordinator may also serve as a MEDIATOR, supporting you during the difficult times; acting as your voice in difficult situations; offering an ear and advice that could help you deal during stressful moments.

What does an event coordinator charge? TOP

Event coordinators typically charge one or all of three (3) different ways:

  • by a percentage of the total cost of your event budget;
  • by the hour; or
  • a flat rate fee

  • How do you charge? (percentage, flat fee, hourly)
  • How much will you charge us for the services we need?
  • How many times will we meet and how long will each meeting last?
  • Will you meet with our vendors and look over their contracts?
  • Are you computer literate and do you own a computer?
  • Do you have a backup in case of emergency and can't make our event?
  • Will you be at our wedding rehearsal and is there an extra charge for this?
  • How will you be dressed for events?
  • Can you help plan a wedding within our budget?
  • Are you a registered business?
  • Have you worked at our venue before?
  • Have you worked with our vendors before?
  • Will you contact our vendors before the event?
  • Is there an extra charge for phonecalls and e-mail correspondence between us?
  • Do you have a preferred vendors list?
  • If our officiant can't make it, will you direct our rehearsal?
  • Can you handle last minute changes and emergencies and is there a charge for this?
  • What is your deposit requirement?
  • If we cancel our contract, will we get all or any of our deposit back?
